ADMINISTRATIVE SECRETARY POSITION

Job Description

Desirable qualifications include but are not limited to:

A demonstrated ability to work with people; the desire to learn about soil and water resources management and to develop a working knowledge of certain district, state and federal conservation programs.  Carry out day-to-day assignments and specific duties assigned by the General Manager and Board of Directors.  The duties of this position require the exercise of initiative, good judgment and a high level of responsibility for independently carrying out duties. Desirable experience is a background in basic bookkeeping and experience in the use of computers including data processing, word processing and publishing software.  A post-high school degree in business is preferred but not necessary.  A valid driver’s license is required.

1)   Assist the general manager in carrying out the goals and duties of the district as directed by the board of directors

2)   Be responsible for scheduling and notifying directors of board meetings and other related dates, prepare and provide agendas, record and prepare official minutes

3) Be responsible for the execution of day-to-day clerical duties, which include:

          A) Administrative:

             1) Assist in preparing budget

             2) document and prepare conservation program payments

             3) become certified as a Notary Public

          B) Accounting:

             1) Monthly financial statements & books

             2) Quarterly budget comparison

             3) Accounts Payable/Accounts Receivable records

             4) Board & Staff Expense records

             5) Audit and Budget reports

             6) Grant reporting

          C) Secretarial:

             1) Board meeting and committee meeting minutes

             2) Correspondence to agency personnel, grant program administrators, vendors and customers
